What follows are the meeting notes for the April 12th Meeting. Bike Farm meets every 2nd and 4th Tuesday at 7pm at Bike Farm.

Key for Frank – Passed; he’ll get one of Steve’s keys. Also discussed changing the locks, but decided we would need a system for keeping track of who has keys and someone to do it, like a volunteer coordinator. That discussion was TABLED.
Internet – Voted to pay Variant for our past internet use and then get our own; Frank did some research, but Jesse Bruce was nominated to figure this out. If he’s too busy Adam will take it on.
Progressive Incentives – Discussed and decided we need a reliable means of tracking volunteer hours, attendance, etc. before implementing a more complicated incentive system. TABLED until we have a fancy log in system.
Coordinators and privileges - Determined these should be separate discussions. Coordinator positions would be helpful, but there seems to be concern about the possibility of folks not wanting to fill the positions. We’d also need to have clearly defined responsibilities and accountability systems for this. Amanda will send out a copy of an existing document about coordinator positions.
Plumbing – The drain on the bathroom sink is leaking. Jesse Bruce will need to contact the landlord, Jeremy will take a look at the possibility of just fixing it ourselves.
Bylaws mtg. update – Not much has changed in the bylaws, mostly some technicalities and a clause stating that all board decisions have to be ratified by the collective.
Spending mtg. Update – Frank has got all the items he was responsible for. Adam got some folding chairs, no fan, and ordered pumps and a BB tool from SBS. Amanda hasn’t gotten any of her assigned items.
Bike Intake - This was a weird discussion, and in the end Frank’s concern seemed to be about whether or not the Intake form he’s developing (it’s web based!) will actually be useful or not. We told him it will be.
Ordering – Frank expressed frustration (which I’m sure we all feel a little bit) with the time it takes to get an order put together. Most people felt that it wasn’t an unreasonable amount of time, especially considering that we’re an all-volunteer organization, and doing smaller orders would necessitate us paying shipping fees.
Recycling – Frank ran into some confusion at CCC regarding our recycling with them. It’s my understanding and experience that they will accept our metal, and I’ve been told our rubber, as long as we’re giving them some metal with it. Sunday is an ideal day to drop off recycling because their recycling coordinator is there for their scrap sales. The recycling coordinator is named James and his contact email is James@communitycyclingcenter.org
Software – Frank suggested getting pro software for Amanda to do our books. Jeremy Zane offered to help Amanda use the free software we already have more effectively.
Tangential topics that came up -
Amanda wants to have a thursday night volunteer skillshare to discuss effective ways of being a BF volunteer. I think it’s a great idea. What dates are good for folks?
Simon asked for a copy of our 501(c)3 paperwork and our approval for him to go to Interbike registered as a Bike Farm rep. We agreed that would be fine.
Finally, on the bearings front, Adam will look into a local source for bearings, since they’re so difficult to get through our distributors.
